Phoenix Aviation Limited (PAL) seek to recruit a qualified and competent individual to fill the following position.
EXECUTIVE ADMINISTRATIVE ASSISTANT
Role
Working in the General Manager (GM) & Accountable Manager’s (AM) office, the main function of this position is to coordinate and ensure timely flow of information to and from the General Manager’s office.
Key Responsibilities
- Act as the point of contact among the executives, employees, clients and other external partners.
- Manage information flow in a timely and accurate manner.
- Manage the GM’s active calendar of appointments, correspondences, and full travel plan, itineraries, agendas, include coordination of travel activities.
- Make travel and accommodation arrangements.
- Act as an office manager by keeping up with office supply inventory.
- Format information for internal and external communication – memos, emails, presentations, reports.
- Organize all the GM’s meetings and manage the daily schedule, ensuring communication of the schedules in advance and keeping appointments and meetings on time or changing schedules whenever necessary.
- Must be adaptable to the changing requirements of the GM plus other internal and external requests.
- Coordinate meetings and take meeting notes for meetings chaired by the GM.
- Manage external contacts for the GM, proactively understanding who they are, which are the priority contacts, and keeping track of periodic communication needed for priority contacts.
- Review email correspondence addressed to the GM and take the appropriate follow-up actions as required in consultation with the GM.
- Handle confidential information in a professional and discreet manner.
- Other tasks as requested by the office of the GM.
Essential Requirements
- Bachelor’s degree in Business Administration or related qualification. Aviation background is an added advantage but not a requirement.
- Previous equivalent work-related experience supporting senior-level executives.
- Must possess strong organizational skills, excellent verbal/written communication skills, and excellent interpersonal and time management skills.
- Must have good computer skills, including MS Office Suite, and be able to cope with multiple priorities.
- Must present professional demeanor and possess excellent customer service skills with clients and individuals at all levels of the organization.
- Demonstrated ability to handle confidential information appropriately.
- Keen attention to detail and ability to work independently.
- Flexibility in working hours is a requirement.
